Drafts and approvals

If your workspace has approvals enabled, drafts move through a review step before they can publish. This article covers the draft lifecycle; for setup, see Approval workflow.

Draft states

StateWhat it means
DraftAuthor is still writing. Not in any queue.
Pending approvalSubmitted; waiting on an approver.
Changes requestedAn approver left feedback. Back to the author.
ApprovedCleared. Will publish at the scheduled time.
ScheduledEquivalent to Approved + has a publish time set.

Submitting for approval

In the composer, click Submit for approval instead of Schedule. Pick the approver (or leave on "any approver") and the post moves to Pending approval.

The approver is notified by email and in-app. They can:

  • Approve — the post becomes Scheduled at the time the author chose.
  • Request changes — leave a comment. The post returns to the author as Changes requested.
  • Edit and approve — make small fixes and approve in one step (audit log records the edit).

Author view

As an author, you'll see your pending-approval and changes-requested posts in the Drafts view with a status chip. You can edit and re-submit at any time.

Bypassing approvals

Workspace admins can bypass approval (publish directly). This is intentional — admins should be the safety net, not the bottleneck.
